Privacy statement

Last updated: 19 October 2026

TalentCraft handles personal data with care. This statement explains which data we process through this website, why, how long we keep it and what your rights are. We process no more than necessary.

Who we are

TalentCraft B.V., Jelgersmastraat 33, 2023 EN Haarlem, the Netherlands, registered with the Netherlands Chamber of Commerce under number 52776999, is responsible for processing personal data through this website.

Which data we process, and why

Call-back form
Name, agency, phone number or email address, the page you sent the form from and how you arrived at the website (for example via LinkedIn or a search engine). We use this to contact you about your request. Legal basis: taking steps prior to entering into a contract, and our legitimate interest in responding to your request.
Recruitment Development Scan
The scan itself runs in your browser: your answers are not sent to us or stored. The report and share link are created in your own browser; the answers exist only in that link. If you book a report review after the scan, the link to your report is included with the appointment (see Booking an appointment). Legal basis: your consent and taking steps prior to entering into a contract.
Anonymous counts
To improve the website and the Recruitment Development Scan we count how often the scan is started and completed, how often the report is downloaded, and per page how often a call is booked, a call-back form is sent or the phone number or WhatsApp link is clicked. We only store the step, the role or page and the time: no answers, no IP address, no cookies and nothing that can be traced back to a person. Legal basis: our legitimate interest in improving the service.
Team analysis
For a team analysis we store the agency name and the answers of the director and recruiters, without names or contact details. Recruiters' answers are anonymous: the director only sees team averages, never individual answers, and only from three participants. TalentCraft is notified that an analysis has started, but can only see its content if the director grants access. For an agency analysis supported by TalentCraft, each participant decides afterwards whether to share their personal report with TalentCraft. Only then do we keep the name they give and that report, so we can discuss it together; the director never sees it. Legal basis: our legitimate interest in providing the service the agency requests, and for a shared report your consent. You can withdraw it at any time by emailing us; we will then delete the report.
Booking an appointment (Calendly)
If you book an appointment through the calendar, Calendly processes your name, email address, the chosen time and your answers to the booking questions. If you open the calendar from the scan to book a report review, the link to your report is already passed along when the calendar opens, so we can prepare the conversation. For a team analysis, the director thereby gives TalentCraft read-only access to the team report with that click; this is stated next to the button. We also pass on how you arrived at the website (for example via LinkedIn) and the page you book from. On the sparring session page the calendar loads straight away, and Calendly receives data about your visit. On other pages the calendar only loads when you click to open it.
WhatsApp
If you choose to contact us via WhatsApp, WhatsApp (Meta) processes your message and phone number under its own terms.
Videos (Vimeo)
The introduction videos only load when you click play. They play with the 'do not track' setting, so Vimeo does not use data to track you.
Visiting the website
Our hosting provider records technical data such as your IP address and the time of your visit, to keep the website secure and available. We do not use analytics or advertising cookies and do not track you across other websites.

Who we share data with

We never sell your data. We work with these service providers, which process data only on our instructions:

Netlify
website hosting, form processing and storage of team analyses.
Calendly
appointment scheduling.
Vimeo
video playback.

These providers are based in the United States. Transfers take place under the EU-US Data Privacy Framework or the European Commission's standard contractual clauses.

How long we keep data

Requests via forms
up to two years after the last contact, unless an agreement results from it; statutory retention periods then apply, such as seven years for financial records.
Team analyses
twelve months after the analysis was started; they are then deleted automatically, including shared reports. If a participant withdraws consent earlier, we delete their shared report immediately.
Anonymous counts
twenty-four months; they are then deleted automatically.
Appointments via Calendly
as long as needed for the appointment and follow-up, and no longer than two years.

Cookies

The website itself does not place cookies. The scan keeps your progress for up to seven days in your own browser (so you can continue after a refresh); if you start a team analysis as a director, your management link is stored there too. The scan also remembers whether you have already completed a team analysis. This data never leaves your browser. In addition, the website remembers, only while your browser window is open, how you arrived (for example via LinkedIn) and which page you landed on; this is sent along with a call-back request or appointment, so we know where you came from. Only when you open the calendar (on the sparring session page it is open straight away) or play a video can Calendly or Vimeo place functional cookies needed for that service to work. We do not use tracking or advertising cookies.

Security

The website only works over a secure connection (https). Access to submitted data is limited to TalentCraft. The management link of a team analysis is known only to the director who started it, and for a supported agency analysis also to TalentCraft.

Your rights

You have the right to access, correct or delete your data, to restrict processing, to object and to data portability. If you gave consent, you can withdraw it at any time. Send your request to info@talentcraft.nl; we respond within one month.

If you disagree with how we handle your data, you can file a complaint with the Dutch Data Protection Authority (autoriteitpersoonsgegevens.nl).

Changes

We update this statement when the website or our way of working changes. The date at the top shows when that last happened.
